AppWork Expands Into Risk Management With Launch of Incident & Claims Management Platform

PR Newswire

New capabilities take multifamily operators from the moment an incident happens through approval, claim tracking, and resolution. Included in the core AppWork platform at no additional cost.

TAMPA, Fla., Oct. 26, 2026 /PRNewswire/ -- AppWork, the maintenance management platform built for multifamily property operators, today announced Incident & Claims Management, a major expansion of the platform that moves AppWork into operational risk management for the multifamily industry.

The release gives property management companies and ownership groups one place to document an incident, route it for approval, track it through the claim process, and close it out, with a complete record of every step along the way. It is available to every AppWork client as part of the core product at no additional cost.

Incidents happen at every property. A resident slips in a breezeway. A pipe bursts over a holiday weekend. A car gets hit in the parking lot. A fire breaks out in a unit. Today, most operators document these events in email threads, PDF forms, and spreadsheets, and by the time an incident turns into an insurance claim, the record is scattered across inboxes and the people handling the claim are working from an incomplete picture. Insurance carriers and brokers see the same problem from the other side: inconsistent, late, and incomplete reporting from the properties they cover.

Incident & Claims Management fixes that by putting the whole process where the on-site team already works. AppWork's incident reporting already lets operators build templates by incident type and automatically attaches AppWork's Weather Intelligence to each report, so a water intrusion or storm-related claim carries the weather conditions at the time of the incident. Building on that foundation, the new release adds:

  • Approvals. Route a draft incident report to the people who need to sign off on it. Approvers get an email with a direct approve link, and reminders until they act. Operators choose how many approvals a report needs. If anyone edits a report after it has been approved, it goes back for full approval with a summary of exactly what changed.
  • Claims tracking. Every incident now moves through a claim lifecycle with customizable statuses. The defaults are Potential Claim, Demand Letter Received, Claim Filed, and Claim Resolved. Teams can filter the incident list by status to see where every open claim stands.
  • A complete timeline. Every edit, status change, approval, and tag lands in the incident's timeline with what changed, when it changed, and who changed it. The same detail carries through to the printed and exported report, so what an insurer receives matches what the property sees.
  • Custom tags. Organizations build their own tag library and apply multiple tags to each incident for sorting, filtering, and reporting.
  • Draft control. Draft reports can be canceled, and the original submitter stays attached to a report no matter who edits it later.

"Every property deals with incidents, and up until now the paperwork lived in email threads and PDFs. By the time a claim got filed, half the story was missing," said Sean Landsberg, Co-Founder and CEO of AppWork. "We built this because our clients asked us to. The maintenance team is already in AppWork documenting what happened. The approvals, the claim status, the timeline, the weather data, it all belongs in that same record. And we are not charging extra for it. Protecting your properties and your residents should be part of the product, not an upsell."

AppWork developed Incident & Claims Management alongside its clients, insurance carriers, and brokers, with a dedicated Insurance team working directly with Design and Engineering. The company views the insurance community as users of AppWork, not just beneficiaries of better data, and is working with brokers and carriers to make AppWork the standard way their multifamily clients report incidents and claims.

"We heard the same feedback from Brokers and carriers over and over: there is no consistent, complete, and timely reporting of incidents across their clients." said Steve Botz, Head of Insurance & Risk Management at AppWork. "Incident & Claims Management gives operators one place to document, approve, and track an incident all the way to resolution, and gives their insurance partners a record they can actually act on. This will allow them to get ahead of claim activity, and be in the best position to reduce and or eliminate unnecessary losses and insurance costs.."

Clients who helped shape the release are already putting it to work.

"What sets AppWork apart is that they listen. We share feedback, and it shows up in the product," said Joe Coleman, Chief Operating Officer at Decron. "The new approval workflow and claim status flow give us a clean record from the day something happens to the day it's resolved, and that's exactly what our insurance team needs. I believe in it enough that I'm bringing AppWork to our own brokerage."

Insurance brokers see the release as a way to bring consistency to how their clients report claims.

Upcoming releases will add incident contacts, the ability to link work orders and inspections directly to an incident, approval access for insurance partners who are not full AppWork users, a risk analytic dashboard and AppWork's AI Risk Intelligence, which will surface patterns across incidents to help operators prevent the next one.

Incident & Claims Management is live today for all AppWork clients at no additional cost. Clients can reach out to their Client Success Manager for help with training and setup.
